Required for authentication, session management, security, and core platform operations. These cannot be disabled.

Artworksoft uses artificial intelligence (AI) systems, including large language models (LLMs), to analyse artwork-related information for the purpose of generating valuations, portfolio narratives, and related insights.

When you initiate an AI valuation, artwork metadata (title, medium, dimensions, condition, provenance, pricing, and associated artist data) is submitted to a third-party AI provider for processing. We do not submit personally identifying information such as your name or email for AI analysis.

Important Disclaimer

AI-generated outputs from Artworksoft are informational and illustrative only. They do not constitute certified financial valuations, investment advice, or professional appraisals. Artworksoft makes no guarantee as to the accuracy, completeness, or market applicability of any AI-generated valuation. Users should seek independent professional advice for financial, insurance, or legal purposes.

No fully automated decision-making with significant legal or financial effects is applied solely on the basis of AI outputs. Human review is always possible and encouraged.

Artworksoft does not sell, rent, or trade your personal data to any third party.

We may share data with the following categories of service providers, strictly as required to deliver the platform:

• Cloud hosting and infrastructure providers (servers, databases, storage)
• Payment processors — Stripe, Inc., for handling subscription and one-time payments
• Email delivery services — Resend, for transactional and onboarding communications
• AI/LLM providers — for processing artwork data during valuation generation
• Analytics providers — where consent has been given
• Legal or regulatory authorities — where required by applicable law or court order

All service providers are contractually required to maintain appropriate data security standards and to process data only as instructed by us. They are not permitted to use your data for their own purposes.

Artworksoft is operated from Singapore. However, some of our service providers (including hosting, payment, and AI processing services) may process data in countries outside Singapore and the EEA, including the United States.

Where personal data is transferred internationally, we rely on appropriate safeguards, including Standard Contractual Clauses (SCCs) for EEA transfers, and assess third-party providers to ensure they maintain adequate data protection standards consistent with GDPR and PDPA requirements.

We retain personal data only for as long as necessary for the purposes outlined in this policy:

• Account data — retained for the duration of your account and for up to 7 years after account closure, for legal and financial compliance purposes.
• Transaction and billing records — retained for at least 7 years as required by applicable financial and tax regulations.
• Artwork and valuation records — retained for the duration of your account and deleted within 90 days of a verified account deletion request.
• Support correspondence — retained for up to 3 years.
• Usage and analytics data — aggregated and anonymised after 24 months.
• Cookie consent records — retained for up to 12 months.

You may request deletion of your data at any time. See Section 11 (GDPR Rights) for details.

Artworksoft implements industry-standard security measures to protect your personal data against unauthorised access, loss, or misuse:

• All data in transit is encrypted using TLS/HTTPS
• Data at rest is stored using encrypted, access-controlled infrastructure
• Authentication is managed via secure, token-based sessions
• Payment data is handled exclusively by PCI-DSS compliant payment processors (Stripe)
• Access to production systems is restricted to authorised personnel only
• Security practices are reviewed and updated on an ongoing basis

While we take all reasonable steps to protect your data, no method of transmission over the internet is completely secure. We encourage users to maintain strong account passwords and to report any suspected security incidents to us immediately.

As a Singapore-based company, Artworksoft complies with the Personal Data Protection Act 2012 (PDPA). Singapore-based users have the following rights:
